How I Run 3 Brands With 1 AI Assistant: My ChatGPT Workflow

People often ask me,

“How do you manage ReThynk AI, Vista Liberata, and Valintra Tunes plus writing, Dev.to, YouTube, and a magazine, without burning out?”

The truth is simple:

I don’t manage everything; my AI systems do.

Over the last year, I’ve built an end-to-end workflow using ChatGPT and automation tools that lets me operate multiple brands with the focus of a single founder.
Here’s the full framework.

1️⃣ Create Brand Personas Inside ChatGPT

Each brand I run has its own AI persona trained for that brand’s tone, audience, and purpose.

It’s like having three dedicated executives working full-time, in one browser tab.

2️⃣ Automate Weekly Tasks With Prompt Frameworks

I use standardised prompt templates for every repetitive task.

  • ReThynk AI: “Generate a weekly AI magazine update with 3 trending tools and 1 ethical insight.”
  • Vista Liberata: “Write a 100-word post connecting emotion with brand identity for luxury audiences.”
  • Valintra Tunes: “Draft lyrics around solitude, hope, and digital emotion with cinematic rhythm.”

Each template turns a blank screen into output in seconds, saving hours of setup time.

3️⃣ Link Everything Through Notion + Zapier

ChatGPT → Notion → Zapier connects all brands into one dashboard:

  • When I publish a Dev.to post, Zapier adds it to my content library.
  • When a YouTube video goes live, Notion auto-updates the marketing calendar.
  • When ReThynk AI Magazine publishes, it sends a post prompt to ChatGPT for LinkedIn snippets.

Automation keeps creativity flowing while operations stay invisible.

4️⃣ Use AI for Decision Support

Every Monday, I ask my assistant (ChatGPT):

Summarize brand metrics for ReThynk AI, Vista Liberata, and Valintra Tunes.
Suggest next-week priorities based on current engagement and growth trends.

It creates a one-page strategic brief, data-driven, not emotional.
This helps me focus on direction instead of details.

5️⃣ Simplify, Don’t Complicate

The goal isn’t to stack tools, it’s to build repeatable systems.

I don’t chase 100 new automations.
I master 10 that run every week without breaking: content generation, analytics, scheduling, engagement, and archiving.

Simplicity scales faster than complexity.
